Role Overview:

The Office Manager provides dedicated administrative and operational support to the DTIS Europe organisation, ensuring the effective coordination of business activities, leadership support, employee engagement initiatives, and day-to-day team operations.

This role acts as a central point of coordination for administrative processes, travel and expense support, meetings, events, communications, and office-related requirements. The Office Manager works closely with DTIS leaders, employees, and partner functions to improve operational efficiency and enhance the employee experience across the region.

While the role supports the day-to-day needs of the DTIS Europe organisation, facilities-related responsibilities, including building management, maintenance, vendor management, access control, and facilities invoice processing, remain the responsibility of the Facilities organisation.

What you'll be doing:

Administrative & Executive Support
  • Provide administrative support to DTIS leaders and teams across Europe.
  • Coordinate calendars, meetings, and leadership schedules as required.
  • Prepare meeting materials, presentations, agendas, and supporting documentation.
  • Track actions and follow up on key deliverables to ensure timely completion.
  • Support internal communications and organisational coordination activities.
Travel & Expense Management
  • Act as the primary point of contact for Travel & Expense (T&E) related queries and issue resolution.
  • Support employees and leaders with travel arrangements, expense submissions, and policy guidance.
  • Liaise with internal stakeholders to resolve travel and expense-related issues.
  • Monitor and track outstanding actions to ensure timely resolution.
Events & Employee Engagement
  • Plan and coordinate team meetings, offsites, workshops, training sessions, and employee engagement activities.
  • Manage event logistics, including scheduling, communications, attendee coordination, catering, and meeting materials.
  • Support leadership visits and regional onsite activities.
  • Coordinate event communications and post-event follow-up actions.
Office & Operational Support
  • Manage office supplies and team-specific workplace requirements.
  • Coordinate onboarding and offboarding activities in partnership with HR, IT, Facilities, and other support teams.
  • Act as a key point of contact for employees regarding administrative, operational, and workplace-related queries.
  • Support the delivery of a positive and productive employee experience across the DTIS Europe organisation.
Process Improvement & Coordination
  • Develop, maintain, and improve administrative processes, documentation, and operational trackers.
  • Identify opportunities to improve efficiency and simplify ways of working.
  • Maintain organisational records, team documentation, and knowledge repositories.
  • Coordinate activities across multiple stakeholders to ensure smooth operational delivery.

What we're looking for:

  • Proven experience in an Office Manager, Executive Assistant, Administrative Manager, Operations Coordinator, or similar role.
  • Strong organisational and time management skills, with the ability to manage multiple priorities simultaneously.
  • Excellent written and verbal communication skills.
  • High attention to detail and strong follow-through.
  • Proficiency with Microsoft Office 365, including Outlook, Teams, PowerPoint, and Excel.
  • Ability to work independently, exercise sound judgement, and maintain confidentiality.
  • Strong stakeholder management and relationship-building skills.

At SIE, we consider several factors when setting each role’s base pay range, including the competitive benchmarking data for the market and geographic location.
Please note that the base pay range may vary in line with our hybrid working policy and individual base pay will be determined based on job-related factors which may include knowledge, skills, experience, and location.

The estimated base pay range for this role is listed below.
€42.000€63.000 EUR
