You’ll be joining the Legal team, which sits at the centre of Web Summit’s global operations and helps the business move quickly while managing risk.
This is not a lawyer role. It is an operational contracts and compliance role focused on employment contracts, contractor and employer-of-record arrangements, and the documentation supporting the employee lifecycle.
You’ll work closely with Legal, People Operations, Recruitment and Finance teams to make sure the right documents are issued, approvals are obtained, records are maintained and non-standard issues are identified and escalated.
What you'll achieve
You’ll manage the end-to-end workflow for employment contracts, contractor agreements, EOR documentation, renewals, addenda, promotion and role-change letters, and other people-related documents.
You’ll prepare documents using approved templates, check key information, coordinate approvals, issue documents through DocuSign and track completion.
You’ll ensure the correct legal entity, jurisdiction, template, salary, working pattern, language, expiry date and approval process are used.
You’ll maintain accurate registers for contractors, EOR workers and international hires, including start, renewal and expiry dates.
You’ll coordinate legal documentation and acknowledgements during onboarding and offboarding, including confidentiality, data protection, intellectual property and post-termination obligations.
You’ll help prepare instructions for external employment counsel and maintain clear records of advice and action points.
You’ll identify recurring gaps, delays and documentation issues, and help develop better workflows, trackers and controls.
You’ll work across teams and jurisdictions, supporting Web Summit’s operations in Ireland, the UK, Portugal, Canada, Brazil, Qatar and other markets.
Skills we like to see
2+ years’ experience in HR operations, contracts administration, or legal operations, with a strong focus on employee lifecycle administration or similar workflow-focused roles.
Excellent attention to detail when working with contracts, templates, names, dates, salaries, legal entities and approval processes.
Experience using DocuSign or another electronic signature or contract management platform.
Proven experience managing employee data and workflows within an HRIS such as BambooHR or a similar system.
Confidence maintaining trackers, registers, workflow dashboards and audit-ready records.
Strong written and verbal communication skills, with the ability to explain process requirements clearly.
Sound judgment when working with confidential information and an ability to identify when something is non-standard and should be escalated.
A practical and organised approach, with the ability to manage competing priorities and work calmly under pressure.
Demonstrated understanding of the employee lifecycle, including onboarding, offboarding, and core HR compliance requirements.
Experience with employment contracts, contractor agreements, EOR documentation or cross-border teams is an advantage.
Experience improving manual processes and introducing clearer workflows is a plus.
A legal qualification is not required.
