Job Description

We are seeking a highly organised and proactive Receptionist to support the daily operations of our Dublin office. This role is essential to ensuring a welcoming and efficient environment for staff and visitors. The ideal candidate will play a key role in maintaining smooth office operations and supporting the team in achieving their goals.

Key Responsibilities:

Front of House:

  • Act as the first point of contact for visitors and staff. 
  • Answering and routing incoming phone calls.

Office Coordination:

  • Maintain office supplies including canteen supplies and stationery and coordinate with Managing Director to ensure a well-organised and professional environment.
  • Ensuring communal areas (reception, canteen, meeting rooms) are well-stocked and tidy.
  • Handling incoming and outgoing post and deliveries.

Visitor Support:

  • Scheduling meetings, coordinating logistics, and supporting international visitors with local arrangements such as accommodation, catering, meeting room bookings and transport.

Event & Meeting Coordination:

  • Assist in organising internal events, meetings, and team-building activities, ensuring all logistics are handled smoothly.

Compliance & Safety:

  • Support adherence to company policies and local regulations. Help maintain a safe and compliant workplace environment.

Qualifications

About You:

  • Education: 3rd Level Qualification is desirable.
  • Experience: Minimum of 5 years of experience in a reception or office coordination role.
  • Skills: Excellent organizational and multitasking skills, strong communication abilities, proficiency in Microsoft Office Suite.
  • Attributes: Proactive, detail-oriented, and able to work independently and as part of a team.
