We are looking for a Project Manager for the HQ Marketing team to own the end-to-end management of marketing and creative projects across the business.

This role sits at the center of HQ Marketing and operates with the rigor and pace of a creative agency project manager, ensuring clear briefing, well-managed priorities with a strong understanding of business impact and, above all, on-time delivery at the expected creative standard.

You will be the key connector between brand/content marketing, retail/product teams, business units, product innovation, and the creative delivery teams (creative planners, copywriters, art direction, freelancers, and external agencies). Your mission is to bring structure, transparency, and momentum to all marketing initiatives coming into HQ.

Key Responsibilities

Project Intake & Prioritization

  • Own the intake process for all HQ marketing requests (campaigns, product launches, content production, retail production)
  • Challenge and refine briefs to ensure clarity of objectives, business impact, scope, deliverables, and timelines
  • Own prioritization of projects based on a strong understanding of business impact and company priorities
  • Translate business needs into actionable project plans for the HQ team

End-to-End Project Management

  • Manage projects from brief to final delivery across multiple stakeholders and workstreams
  • Build and maintain timelines, project plans, and milestones
  • Run project kick-offs, status and feedback meetings, and retrospectives
  • Ensure deliverables are reviewed, approved, and delivered on time and on brand
  • Track dependencies and proactively resolve risks or bottlenecks

Resource & Workflow Management

  • Plan and allocate resources across internal teams and external partners
  • Coordinate work between central and local teams, as well as creative delivery teams
  • Optimize workflows and capacity across ongoing and one-off projects
  • Recommend resourcing solutions (freelancers, agencies, scheduling adjustments)
  • Own collaboration with retainer agencies and contractors
  • Work with Retail, Product, and Manufacturing teams to ensure delivery of physical products at scale

Stakeholder Management

  • Act as the single point of contact for project stakeholders across business units
  • Manage expectations on timelines, scope, and deliverables
  • Ensure feedback is consolidated, clear, and actionable for creative teams
  • Facilitate alignment between HQ Marketing and business stakeholders

Process & Operations Improvement

  • Establish and maintain efficient marketing project management processes inspired by creative agency standards
  • Continuously improve processes, templates, and workflows for asset creation in collaboration with the automation team
  • Improve communication between central and local teams
  • Track project performance and identify opportunities to optimize delivery

Quality & Delivery Oversight

  • Ensure creative work is delivered on brief, on brand, and on schedule
  • Support teams in maintaining high creative standards while meeting deadlines and aligning with business impact
  • Coordinate final delivery and handover to stakeholders and business units

Experience

  • 5–8+ years in project management within a creative agency, in-house creative team, or marketing organization
  • Proven experience managing multi-channel campaigns, content production, and product launches
  • Experience managing projects involving manufacturing at scale and physical products (not only digital)
  • Strong understanding of creative workflows (strategy → concept → design → delivery)
  • Experience managing freelancers and external agencies
  • Experience working in a central vs local setup across multiple markets

Skills

  • Exceptional organizational and prioritization skills
  • Strong understanding of the business context behind projects
  • Strong stakeholder management and communication abilities
  • Comfortable managing multiple teams and deadlines simultaneously
  • Ability to translate business needs into clear creative briefs and plans
  • Proficient in project management tools (e.g. Wrike, Jira)
  • Strong attention to detail and process orientation

Mindset

  • Proactive, structured, and collaborative
  • Strong sense of ownership and follow-through
  • Comfortable challenging scope and timelines when needed
  • Passion for working at the intersection of creative and business teams
