About the role 

An exciting opportunity has opened up in as a Pensions Operations Specialist in our Private Clients division.

The Pensions Operations Specialist will manage the end-to-end pension transfer process from a front-office perspective, ensuring accuracy, efficiency, and compliance. This role involves preparing working closely with advisers and CSEs in relation to documentation, tracking transfer requests, and providing management information (MI) to support business decisions.  

In the role, the successful candidate will: 

Transfer Process Ownership:  

Manage pension transfer-in (FO) 

  • On receipt of signed information mandate, gather pension schedule, to include information on fees, bonus, penalties and underlying investments if available. 
  • Liaise with advisers to ensure transfer is in best interest of client. 
  • Issue transfer paperwork to advisors and collect same for further transmission to external providers. At the same time, query if PAO exists. 
  • Chase and provide weekly updates to advisers on status, even if no progression. 
  • Once all paperwork and requirements are met, including the setup of receiving pension scheme, pass file to Pension Operations Team. 

Managing Pension Transfer Out (FO) 

  • Review instructions received and if in specie requested, liaise with adviser and IA. 
  • Work with IA and advisor if assets need to be liquidated. 
  • Ensure pro rata fees are charged on accounts before transferring out. 
  • Keep client informed of process, any requirements and potential timeline. 
  • Prepare transfer packs and ensure all documentation is complete and compliant.  
  • Draft templates for client signatures and coordinate with advisers for timely execution.  

Tracking & Reporting:  

  • Maintain accurate records of all transfer requests and monitor progress to completion.  
  • Provide MI to management on 
  • Pension transfer Funds Under Management (FUM) in pipeline.  
  • Transfer turnaround times and process efficiency.  

Stakeholder Coordination:  

  • Liaise with advisers, operations teams, and external providers to resolve queries and ensure smooth transfer execution.  
  • Escalate issues promptly and propose solutions to minimize delays.  

Compliance & Quality Assurance:  

  • Ensure all transfers adhere to regulatory requirements and internal policies.  
  • Work closely witb pensions technical team and Client suitability team to ensure consistency of advice on pension transfers. 
  • Conduct quality checks on documentation and data accuracy.  

About you  

We are looking for somebody who has the following background and skills: 

  • Strong understanding of pension transfer processes and regulatory requirements.  
  • Proactive and commercially minded ensuring timely transfer of assets into Davy and a smooth client experience. 
  • Strong communication skills with both clients and internal stakeholders. 
  • Excellent organizational and time management skills.  
  • Proficiency in MS Office and knowledge of pension administration.  
  • QFA or relevant pension qualification preferred.  
  • Detail-oriented with a focus on accuracy and compliance.  
  • Ability to improve processes where needed. 
  • Strong communication skills for stakeholder engagement.  
  • Ability to work under pressure and manage multiple priorities.
