Job Specification

The Transfer Agency AVP within the transfer agency department is responsible for overseeing the team and day to day operations. They are the main escalation point in the team and must enforce internal procedures while adhering to regulatory requirements at all times.

They will manage team members, build relationships with clients, investors and internal teams.  They will check all transactions and payments, have full oversight of key control functions and be involved in project and change management.

The AVP must ensure adherence to Internal Transfer Agency procedures in addition to both internal and Regulatory AML requirements at all times

The Role

  • Be accountable for development of staff and managing team where required
  • Create and maintain an environment where procedures, policies and processes are adhered to
  • Drive a solution focussed team and encouraging a positive working environment
  • Responsible for managing multiple clients from pre-launch to liquidation
  • Day to day review of TA processes across Hedge/PE clients to include:
    • Review of new investor AML/KYC
    • Review of capital activity including subscriptions, redemptions, transfers, capital calls, distributions & equalisation events
    • Prepare and review client reporting
    • Review AML / FATCA/CRS submissions as applicable
  • Review of processes performed in our outsourced locations
  • Ensuring compliance with all internal deadlines for reporting and MIS
  • Assisting the VP in drafting of robust operational procedures – ensuring that procedures exist for every process / where changes in processes occur that this is captured in procedures and internal fund guides
  • Identifying gaps in controls and processes and putting process improvement suggestions forward in a professional manner
  • Develop strong working relationships with clients, investors, auditors, and other external & internal parties as required
  • Active participation in TA projects and relevant systems testing

  • Proven record in dealing with AML / KYC/ FATCA / CRS
  • A detailed understanding of fund structures and the fund administration business
  • Strong analytical and problem solving skills
  • Ability to work effectively both within a team structure and individually
  • Strong interpersonal skills
  • Strong systems, product and process knowledge
  • Reliable and dependable
  • Be approachable by all levels at all times
  • Act as a role model for Apex
  • Demonstrate leadership skills
  • Ability to appropriately handle complex queries and cases
  • Ability to remain calm at busy times, this is important as a manager
