Position Summary:  This position is responsible for the planning and scheduling of chemo/infusion to ensure that patients are scheduled accurately for treatment. The role also assists in improving patient access by balancing the patient load for scheduling treatment.   Work is performed under the general direction of the Site Manager.

Essential Duties and Responsibilities:

  • Schedules chemo/infusion according to scheduling procedures.
  • Completes Infusion scheduling request and communicates updates with patients.
  • Utilizes infusion scheduling software to improve utilization of resources and balancing the patient load.
  • Works close with the Infusion Team, Physician Nurses and Medical Assistants to coordinator changes to infusion scheduling.
  • Verifies infusion schedules for accuracy. Responsible for chemo scrubbing report.
  • Assists with training and orientation of new employees as assigned.
  • Moves pharmacy orders after verification with physician/nurse.
  • Answers phone and take messages for physician/nurse.
  • Maintains e-mail folder.
  • Cross trains with other scheduling positions.
  • Keeps track of doctors scheduled out by calendar.
  • Re-schedules in a timely and sensitive manner.
  • Notifies Supervisor or Manager of any problems in a timely manner.
  • Interfaces internally with the Phone Room, Medical Records, Insurance, Front Desk, and Pharmacy regarding patient’s records and verification.
  • Respects the dignity and confidentiality of patients.
  • Maintains a good attendance record and report on time for work.
  • Maintains a professional attitude and appearance.
  • Complies with clinic safety policy and procedures.
  • Possesses good communication skills that lend to a team-oriented work environment.
  • Attends staff meetings as scheduled.
  • Performs other duties as assigned.

Qualifications/Experience:

High school diploma or general education degree (GED); or six months related experience and/or training; or equivalent combination of education and experience.

Must have excellent organization and follow-up skills; excellent verbal and written communication skills; excellent problem-solving skills; ability to organize and prioritize work assignments; ability to handle multiple priorities in a fast-paced environment; ability to analyze situations and respond in a timely manner; ability to participate in multi-functional teams; ability to establish and maintain effective working relationships within The West Clinic; must be proficient in computer applications including word processing and e-mail.  Additional hours may be required.

Work Environment/Physical Demands/Travel:

  • Typical clinical environment with moderate noise level.
  • Ability to stand, walk, sit and hand/wrist use, talk, hear, see.
  • Ability to work with exposure to fumes or airborne particles and toxic or caustic chemicals.
  • Ability to read and understand documents such as safety rules, operating and maintenance instructions, procedure manuals, correspondence. Ability to write routine reports and correspondence.  Ability to speak and present information in small groups of customers, suppliers, or employees of the company.
  • Ability to add and multiply, and divide in all units of measure, using whole numbers, fractions, and decimals. Ability to compute rate, ratio, and percent and to interpret bar graphs.
  • Ability to apply common sense understanding to carry out detailed written or oral instructions. Ability to deal with problems involving a few concrete variables in routine situations.
  • Ability to lift up to 50 lbs.
  • Some travel to satellite offices may be required.
