The Role
As our Executive Assistant, you’ll be the ultimate organiser, the calm in the storm, and the trusted right hand to our CEO and Executive Leadership Team (ELT). From managing diaries to orchestrating board-level communications, you’ll ensure everything ticks along seamlessly—while bringing a touch of personality and professionalism to every interaction. Think of yourself as the glue that holds the executive engine together, with plenty of opportunities to make a real impact.
Key Responsibilities
CEO Support
Manage the CEO’s diary, scheduling, and travel arrangements.
Prepare briefing materials, agendas, and follow-up actions for meetings.
Act as a gatekeeper for communications, ensuring prioritisation and confidentiality.
Coordinate board-level communication and arrangements.
Executive Team Support
Provide secondary administrative support to 7 executives, including light touch diary management and meeting coordination for strategic meetings.
Assist with cross-functional projects and executive communications.
Act as a first point of contact for internal and external stakeholders, ensuring a professional and seamless experience
Produce exceptional quality documents, presentations, reports, and correspondence as required.
Liaise with internal and external stakeholders professionally and effectively.
Handle all communications and logistics for Weekly catch up, quarterly townhalls, leadership team offsites, workshops, and other key events.
Support, where necessary, any complex travel or transportation for the executive team.
Experience
Proven experience as an Executive Assistant supporting C-suite leaders.
Experience in a high-growth or scaling organisation preferred.
Able to manage multiple priorities and deadlines with accuracy.
Thrives under pressure and maintains composure in a fast-paced environment.
Personable with High EQi that can builds strong relationships and demonstrates empathy and discretion.
Anticipates needs and solves problems before they arise.
Proficient in Microsoft Office Suite and collaboration tools such as Slack. Interested and an early adopter of AI efficiency tools.

New hires at Cubic³ are required to work onsite five days a week during their six-month probation period to get to know the company, their team, and our ways of working. After probation, we offer a flexible arrangement of up to eight work-from-home days per month, provided it aligns with business needs and performance standards.
