The Role: 

AsIAm is seeking a highly organised, enthusiastic, consistent and reliable Executive Assistant to provide operational and administrative assistance to the Director of Operations (DOO) in her daily activities in leading the operation of AsIAm. This role is best suited to someone who can work in a rapidly evolving environment with significant demands and multitasking required. The successful candidate will be highly flexible and will have relevant professional experience.

Key Responsibilities: 

  • Supporting the DOO diary and correspondence including external events and internal meetings 

  • Playing a key role in the prioritisation of and planning of the DOO’s working activities 

  • Liaising with all AsIAm departments and team members on issues of priority identified by DOO 

  • Supporting the DOO on projects in which they are the lead organiser  

  • Attending meetings with the DOO to prepare minutes and support the implementation of agreed actions 

  • Supporting the DOO in ensuring compliance to governance requirements such as expenses claims, data back-ups  

  • Supporting the DOO with document revision and the management of sensitive and confidential files 

  • Handling highly confidential documentation / information with discretion 

  • Supporting the DOO in stakeholder management (e.g. identifying community members to meet / thank / send periodic messages to) 

  • Providing support to the DOO by helping to co-ordinate team building activities and preparing team bulletins 

  • Supporting the work of the Senior Management Team 


Key Requirements: 

Experience, Education, Skills, and Abilities Required 

  • A relevant professional qualification or experience in a similar role 

  • Ability to work in a pro-active manner, anticipating the business needs and requirements of the DOO 

  • Communicates clearly and accessibly, supports diverse communication needs internally and externally

  • Project co-ordination 

  • Discretion 

  • Business Acumen 

  • Excellent attention to detail and problem solving skills 

  • Highly organised and efficient 

  • Ability to adapt to a wide range of situations / challenges 

  • Flexibility 

  • Natural ability to work with diverse communities and build excellent relationships in a professional manner 

  • Strong IT skills, including experience of Microsoft Office 

  • Willingness to travel 

Contract Duration: 

This role is full-time and permanent.

Salary and Benefits: 

Salary will align with Grade IV of the HSE Consolidated Pay Scale. In addition, we offer:

Working Hours: 

The role is typically Monday to Friday, 9:00 am to 5:00 pm with some flexibility around start and finish times. 

The role holder is required to have a degree of flexibility regarding working hours with the expectation of some evening and weekend work. 

Location:  

The role is based in AsIAm HQ in Blackrock, Co. Dublin. Hybrid working options are available for this role and can be agreed with the line manager subject to the organisation’s needs.
