Job Description

Are you an experienced Document Controller with a strong track record in managing project information on major infrastructure programmes? You will play a key role in controlling and coordinating project documentation across nationally significant D&B infrastructure projects in Ireland including metro, aviation, rail, water and highway schemes.

Your new role 
As Document Controller, you will be responsible for managing project documentation and information systems across major infrastructure projects in Ireland. You will ensure that all project information is accurately controlled, stored and distributed in line with project requirements, supporting efficient and compliant project delivery. 

You will work closely with project teams, contractors and stakeholders to maintain robust document control processes, ensuring that documentation is up to date, accessible and aligned with governance and audit requirements. 

Your key responsibilities will be:  

  • Managing document control processes and systems to ensure accurate and timely handling of project information 

  • Controlling the receipt, distribution and filing of project documents in line with established procedures 

  • Maintaining document registers, trackers and metadata to ensure full traceability 

  • Ensuring version control and document status are clearly managed and communicated 

  • Supporting implementation and management of document control systems (e.g. CDE platforms such as Aconex, SharePoint or equivalent) 

  • Reviewing documentation for compliance with project naming conventions and standards 

  • Coordinating workflows for document review, approval and distribution 

  • Supporting project teams and contractors in the correct use of document management systems 

  • Assisting with audits and assurance activities related to information management 

  • Managing archiving and handover of project documentation in line with requirements 

  • Supporting reporting and governance processes related to document control performance 

  • Promoting best practice in information management and continuous improvement 

About you  

  • Experience in document control or information management roles on infrastructure or construction projects (e.g. metro, aviation, rail, water and highways schemes) 

  • Strong understanding of document control processes, systems and best practice 

  • Experience using common data environments (CDE) and document management systems (e.g. Aconex, SharePoint, ProjectWise or equivalent) 

  • Good understanding of document management standards, naming conventions and workflows 

  • Strong attention to detail, with the ability to manage large volumes of information accurately 

  • Experience supporting audits, quality assurance and information governance processes 

  • Good communication and coordination skills, with the ability to work across multi-disciplinary teams 

  • Proactive and organised, with the ability to manage multiple priorities and deadlines 

  • Familiarity with construction and engineering documentation requirements 

  • Degree or relevant qualification in information management, business administration or a related discipline (or equivalent experience)
