Job Description

Job Purpose:

The Depot Support Specialist is responsible for processing and supporting depot functions within our inventory and financial systems, with a strong focus on service processes and depot operations. This role requires team orientation, flexibility, and attention to detail.

The specialist will support training and documentation for backup processors to ensure coverage. Strong communication skills, both oral and written, are essential for teamwork, relationship building, and analytical thinking. The role supports depot operations and systems processes initially in Opera and, in the near term, SAP.

The specialist will support the SAP implementation with requirements, working independently and as part of a team. The specialist will engage in projects and processing as assigned by the site lead and participate in depot team meetings. Excellent reliability, consistency, and punctuality are crucial. The specialist will handle inventory management, record keeping, goods in and out, logistics, and SAP processing.

Duties:

  • Process within the SAP Service Management System.
  • Execute work instructions for SAP and non-SAP processes.
  • Process SAP depot work orders and inventory consumption.
  • Manage inventory, including storage, stock counts, scrap counts, and goods in and out.
  • Support depot processing to ensure timely receipt and shipment of units via SAP and perform parts transfers as necessary.
  • Perform other depot operations SAP processing roles for team coverage, including:
    • Supporting depot-related email requests via the depot status mailbox.
    • Supporting inbound and outbound shipping with pick and ship through SAP and manually pre-SAP.
    • Supporting international shipping processes.
    • Supporting SAP processes involving cycle counting for inventory control.
    • Addressing SAP depot processing issues and working with Smiths SAP SME to resolve them.
  • Comply with company health, safety, and environmental policies.
  • Coordinate with the team on DOA or repeat return events requiring re-repair and summary.
  • Comply with applicable Irish and EU export control, security, and shipping regulations.
  • Exercise punctuality and attend meetings via Teams and onsite.
  • Keep the manager informed of major issues impacting depot service.
  • Provide depot and service-related data summaries as requested.
  • Prepare / participate in ISO Audit process, and take and stay updated on any ISO audit related training.
  • Perform new or other duties as assigned due to the evolving nature of service and projects.

 

Qualifications

Technical Knowledge and Skills:

Education/Training:

  • Associate’s degree or college coursework in business subjects is desired.
  • Strong computer competency in MS Office Suite and aptitude for learning specialized software programs such as a Service Management System.

Experience:

  • SAP experience and capabilities desirable.
  • Experience with service processes.
  • Aptitude for using a Service Management System.
  • Understanding of operations or service.

Knowledge/Skills:

  • Basic SAP competency.
  • Excellent collaboration, teamwork, and communication abilities.
  • Ability to handle multiple projects or tasks simultaneously while performing daily and weekly duties.
  • Proficiency with Microsoft Office software, specifically Word and Excel.
  • Fluency in English; bilingual skills are a plus.
  • Detail-oriented, team player with positive communication and data processing skills.
  • Punctual, highly organized, and strong tracking and follow-up skills.
  • Have or willing to get Hazmat Training and certifications for handling / storage of certain parts
  • Have or willing to get RSO Radiation Safety Officer training a plus
  • Have or willing to get training on 5S methodology for inventory and asset control and administration.
  • Have or willing to get warehouse forklift certification
  • Willingness to share knowledge with the team and flexibility to work on evolving tasks and projects.

  • Excellent organizational, communication, and interpersonal skills with the ability to multitask several projects at once.
  • Self-motivated, reliable, and accountable.
  • Strong communication and teamwork collaboration skills.
  • Flexibility to work with varied personalities and communication styles.
  • Ability to lift packages up to 50 lbs. unassisted.

Planning and Decision Making:

  • Inventory Management: Planning for regular stock counts, scrap counts, and ensuring adequate storage space for goods.
  • Shipping and Logistics: Coordinating inbound and outbound shipments, including international shipping, to ensure timely delivery and receipt of units.
  • Issue Resolution: Addressing SAP depot processing issues and collaborating with SAP SMEs to resolve them.
  • Compliance: Ensuring adherence to company health, safety, and environmental policies, as well as Irish and EU export control, security, and shipping regulations.

Impact and Scope:

  • Impacts service margin through enabling the efficient movement and repair of parts, delivering material savings.
  • Error impact with this role, loss of service profitability, customer satisfaction and increased penalties from parts availability.
