The Workplace Coordinator plays a key role in creating a safe, welcoming, and productive environment for employees and visitors. This position supports day-to-day workplace operations, vendor management, events, and front-of-house services, ensuring an exceptional experience that reflects our culture and values.

HOW YOU'LL SPEND YOUR TIME HERE:

  • Event & Engagement Support: Plan and execute onsite events and engagement activities, including monthly themed Clubhouse events, weekly lunches, leadership town halls, and corporate initiatives.
  • Vendor Management: Coordinate with food & beverage, janitorial, AV, and other service providers to ensure service standards and SLAs are met.
  • Reception & Visitor Experience: Greet and host visitors with professionalism and discretion; manage reception operations including visitor registration, badging, and lobby readiness.
  • Logistics & Meeting Support: Organise catering, AV, and room set-up for customer visits and company meetings.
  • Workplace Requests: Address, assign, and resolve workplace service requests promptly.
  • Inventory & Supplies: Maintain office supply inventory and ensure timely restocking.
  • Preventive Maintenance: Organise vendor-supported maintenance plans to ensure work is completed on time and within budget.
  • Financial Support: Partner with Workplace Management to manage budgets, track expenses, and handle PO creation, invoice processing, and accruals.
  • Space Planning & Moves: Support MAC (Moves, Adds, Changes), office reconfigurations, and furniture installations.
  • Continuous Improvement: Assist with improvement projects, renovations, and initiatives that enhance workplace culture and operational excellence.

WE'D LOVE TO TALK TO YOU IF YOU HAVE MANY OF THE FOLLOWING:

  • Experience: 5+ years in workplace operations, facilities coordination, front-of-house, executive assistant, or hospitality roles; experience in tech or high-profile corporate HQ preferred.
  • Customer Service: Exceptional interpersonal and communication skills with executive presence and professionalism.
  • Technical Skills: Proficiency with Microsoft Office and workplace systems (visitor management, room booking); experience with AI tools to streamline workflows and enhance productivity.
  • Organisation & Problem Solving: Strong organisational skills, ability to multitask, and proactive approach to resolving issues.
  • Professionalism & Discretion: Ability to handle confidential information and maintain a professional demeanour at all times.
  • Adaptability: Calm and resourceful in fast-changing or high-pressure environments.
  • Physical Requirements: Ability to lift 5–10 lbs and move supplies for events.

Cohesity employees who are within a reasonable commute (e.g. within a forty-five (45) minute average travel time) work out of our core offices 2-3 days a week of their choosing.
