Requirements
About the role
We are seeking an organised and proactive individual to work as part of a team (Corporate Access & Events (CAE).
The primary responsibility is to manage all travel and accommodation for Davy Capital Markets staff and advising on logistics for client roadshows, with occasional event co-ordination and support. The successful candidate will also handle expense reconciliation, maintain internal and group-wide diaries, CRM maintenance, book catering and venues for ad hoc meetings for roadshows and provide general administrative support. They will also partake in projects that contribute to the overall successful delivery of services to clients and colleagues of Davy Capital Markets.
CAE team works in partnership with the Davy Capital Markets (DCM) division (Equities, Research, Corporate Broking, Corporate Finance) in the planning and execution of deal and non-deal roadshows, conferences, industry expert events, webinars, site visits, client entertainment and other bespoke client events. Furthermore, the team is also responsible for the provision of other important services to the Capital Markets Division such as logistics planning, travel reservation management, centralised event promotion, DCM staff roadshow administration, service provider contract negotiation, cost control and reporting.
In the role, the successful candidate will:
Travel & Accommodation
- Proactively research, advise, book and manage reservations (flights, accommodation, rail, road) for Davy Capital Markets teams in line with our travel policy
- Proactively, advise companies on logistics for roadshows and accurate record confirmed logistics info in our CRM system
- Resolve queries to ensure information in the CRM is accurate and complete.
- Manage block booking contracts for accommodation for staff and clients around conferences and events.
- Maintain accurate travel records and expenditure within our CRM and files.
- Secure accommodation mainly using negotiated rates and preferred suppliers.
- Maintain relationships with preferred hotel suppliers and maintain a contact and rate spreadsheet for these suppliers.
- Maintain the DCM travel policy document updated if any changes are agreed during the year. Communicate and changes to teams (guiding principles: sustainable, ethical and economical)
Roadshow & Event Support
- Work closely with colleagues on roadshow logistics and accurately record confirmed info in our CRM in a timely manner.
- Liaise with internal teams and external stakeholders to understand requirements and ensure smooth delivery of tasks.
- Ownership of some tasks involved with planning, preparation, execution and follow-up activities for various DCM events
- Ownership of one specific event around Thanksgiving. E.g. scheduling and logistics, book venue, event admin, catering, organise webinars; and occasionally provide on-site support at such events (conferences, corporate entertainment, site visits etc e.g re, registration at events, event admin.
Expense Management
- Weekly reconciliation of expenditure via Concur, an expense management tool
- Ensure compliance with company expense policies and resolve discrepancies promptly
Diary Management
- Proactive maintenance of our CRM (SingleTrack); ensure information is kept up to date to support efficient communications for marketing all events, roadshows and reporting.
- Collate and maintain the internal Capital Markets diary circulation – each Wednesday, utilising our CRM.
- Update the group-wide diary with all upcoming events and roadshows- each Friday
General Administration
- Provide administrative support to the Capital Markets team, book meeting rooms, set up and test AV for meetings and ad hoc tasks. Occasionally source tickets for events
- Provide back-up / holiday cover to other team members.
- Collaborate with Corporate Access and wider DCM teams on sharing innovative ways to improve processes, efficiencies and productivity to add value to the team. Own some initiatives and work with the team to ensure they are implemented.
Key Relationships
- Establish and maintain relationships with various teams across Capital Markets, external brokers and corporate clients and communicate effectively with clients, suppliers and colleagues at all levels of seniority
- Internal: Capital Markets (Equity Traders, Sales Trader, Corporate Broking, Equity Sales Desk, Research; Corporate Finance); Senior Management, Finance, Marketing, IS, Facilities,
- External: Service Providers (Venues / Airlines / Hotels / Ground Transportation). Corporate and institutional clients (Senior Management and Investor Relations, Portfolio Managers, Analysts, Support Teams), Brokers
About you
We are looking for somebody who has the following background and skills:
- Previous experience in corporate travel / logistics coordination, event or EA roles, preferably in a corporate or financial services environment.
- Highly proactive, reliable and resourceful - proven ability to work on own initiative, identify problems and seek solutions promptly
- Exceptional organisational skills with meticulous attention to detail
- Demonstrative capacity to work effectively independently and within a busy team environment / can prioritise their workload to meet deadlines
- A strong team player with a flexible, customer focused approach
- Enthusiastic person with a high level of professionalism, confidentiality and interpersonal skills
- IT skills, proficiency in MS 365 - Outlook, Word, Excel and experience with CRM systems and online meeting platforms preferable
