Job Description

  • Maintain and manage diaries, coordinating appointments, meetings, and events. Prioritize and reschedule as needed, while considering time zones, travel arrangements, and potential conflicts.
  • Establish excellent communication skills with your key stakeholders and develop productive relationships with all of their teams to that you are highly connected across the team.
  • Arrange often complex travel itineraries, including flights, accommodations, ground transportation, and visas. Ensure all necessary travel documents are prepared in advance.
  • Coordinate and follow up on various tasks and projects assigned to different teams or individuals. Ensure deadlines are met and progress is communicated.
  • Prepare meeting agendas, documents, and presentations
  • Co-ordination of events as required (such as customer events /team days/dinners)
  • Support and collaboration with others in the executive support team with any other ad hoc project work required and to ensure coverage during busy and holiday periods as required.

Qualifications

Experience/Expertise

  • Build and maintain positive relationships with key stakeholders, customers, external suppliers and team members
  • Fast thinking, proactive and confident working unsupervised using own initiative but the ability to adapt to teamwork when needed
  • Maintain the highest level of confidentiality regarding sensitive information related to the executive and their work.
  • Proven problem solving and organisation skills with the ability to prioritise workloads and remain calm under pressure
  • Self-motivated and resilient
  • Good knowledge of international travel booking complexities would be helpful
  • Highly competent in use of Microsoft tools.
  • Some limited travel to Version 1 offices would be required

Nice to have

  • EA/PA/Admin support experience at Executive/Senior level.
