Responsibilities :
JOB SUMMARY:
Responsible for developing and designing Procure to Record (P2R) process requirements, translating them into enhancements within the global sourcing, finance and accounting system. Additionally, provide ongoing support in creating and refining process requirements essential for business, financial, and operational functions critical to Global Sourcing, Finance and Accounting. Perform research and analysis of data in operational functions, policies and procedures, quality assurance and controls and system requirements in response to escalations & issues reported. Take the lead in generating and updating process documents based on his/her findings, with recommended improvements or new requirements. Drive collaboration among global internal stakeholders and business contacts to improve operations. Support operations in determining resource capacity requirements. Support operations in resolution of escalated and critical matters. Perform process review and diagnosis for upstream or downstream processes as service-on-demand.
KEY ROLES & RESPONSIBILITIES / KEY JOB FUNCTIONS:
1.Process Operational Support – Ariba & Concur Technical, ServiceNow, Direct Technical Processing
2.Process Expertise – demonstrate expertise in defining, developing and improving processes in area of responsibility; focal point when operational issues arise; review, analyze and evaluate process performance for improvement initiatives
3.Process Documentation – document and update key processes, documents and process flow maps
4.Process Education – assist in creation of content for inclusion in training package and assist in delivery of training globally as needed; monitor implemented methodologies, processes and best practices for adoption and compliance
5.Project Management – drive key projects and manage change into the operations for process effectiveness that add value to the business; identify root cause of process issues and propose corrective, preventive and containment measures
6.Working through Others – collaborate, communicate and demonstrate effective teamwork to conduct process responsibilities; engage directly with internal stakeholders in the regions to seek information and gather requirements; conduct working sessions with cross-functional teams to define as-is and to-be states
7.Operational effectiveness – provide support to the management team in determining resource capacity; work closely with the Global Process Lead in defining the control points and success criteria to track standard process adoption and compliance
8.Problem Solving – determines the root causes of business concerns and provides proposals on how to address the concern on a timely and effective manner, correlates inter-related business drivers from various aspects operations and its corresponding financial impact
9.Organizational leadership – takes the lead in building organizational competency in process mastery and effectiveness; plays a significant role in long-term planning, including an initiative geared toward operational excellence
10.Communication – facilitates internal and interdepartmental communication.; provides meaningful reporting to senior management in a timely and effective manner
COMPETENCIES, SKILLS, KNOWLEDGE & ABILITIES:
Project Management
Experience in leading projects that require working with multi-disciplined teams; experience working with global and regional teams preferred.
Applied knowledge of analytical tools and project management tools; MS Project, Visio and MS Office experience preferred
Demonstrated ability to apply a systematic approach to problem solving; Lean / Six Sigma experience preferred
Process Documentation
Experience in developing and documenting processes
Experience in gathering and soliciting business/process/customer requirements
Reporting
Preferably have experience in defining, monitoring, and reporting key metrics
Communication
Ability to present and demonstrate complex procedures to diverse groups at various skill levels
Intermediate communication and meeting facilitation skills
Basic teaching
Accounting System / Computer Application Skills
Intermediate knowledge in any accounting system programs and applications, especially SAP
Intermediate knowledge in any procurement system programs and applications, especially Ariba
Intermediate knowledge in MS Office applications, especially MS Excel (Excel Formulas, Pivot tables, etc.)
EDUCATION, EXPERIENCE & CERTIFICATIONS BASIC REQUIREMENTS:
Experience Requirement:
- 5 years Procure to Pay (P2P) or Record to Report (R2R) operational experience
- Completed A3 or JDI projects
Educational Background:
- Obtained college degree on any 4-year course preferably majoring in Business or Engineering
AUTHORITY & DECISION RIGHTS:
Admin and operational decisions within the Level 3 process assignment that include the following but not limited to:
Implement process improvements directly impacting his Level 3 process assignment or works with other Process Analysts for inter-team process assignments and involve other functional teams as necessary Escalate matters to senior management as necessary
INTERFACES:
- Daily with Individual Contributors, Subject Matter Experts, Managers
- Daily with downstream, upstream and support contacts (Sourcing, Supply Chain, MDM, Finance, Reporting, other business areas, HR, IT, etc.)
- Weekly or Monthly with Stakeholders, Senior Managers, Global Process Lead
CAREER PROGRESSION:
Successful assignments can lead to vertical progression such as second line management positions, horizontal progression such as process generalist or specialization, or change in career ladder in other areas.
WORKING CONDITIONS:
- Shift would need to cover support to appropriate responsibilities and interface hours with Cebu team and Lexington stakeholders.
- 40 work hours per week (or as applicable to regional requirements)
