In this strategic role as a Principal Analyst, Workplace Planning and Utilization, you will play a critical part in evaluating and optimizing Moderna’s global workplace space usage. Based in Warsaw, Poland, and reporting to the Director of Space Planning within the global Finance team, you will analyze space utilization data, forecast organizational needs, and provide actionable insights to ensure efficient and effective space planning. You will collaborate closely with teams across Real Estate, Workplace, and Facilities, including stakeholders at Moderna’s Cambridge, Massachusetts headquarters. This is a unique opportunity to help shape Moderna’s evolving real estate portfolio and workplace strategy on a global scale.

Here's What You’ll Do

Your key responsibilities will be:

  • Collect, compile, and evaluate space utilization and occupancy trends to identify opportunities for optimization.

  • Develop and distribute reports and visualizations using CAFM/IWMS systems and tools like Tableau, Smartsheet, or Excel to support strategic decision-making.

  • Forecast space needs based on organizational growth, anticipated headcount changes, and evolving departmental requirements.

  • Support the Space Planning team in developing space allocation plans, layout options, and occupancy strategies to meet business demands.

  • Ensure data accuracy in space planning systems (e.g., CAFM, IWMS) through audits and updates, working closely with system administrators to maintain standards.

  • Research industry benchmarks and workplace trends to provide innovative recommendations.

  • Partner with internal stakeholders across Workplace Services, Facilities, and IT to gather input, understand space requirements, and provide customized solutions.

Your responsibilities will also include:

  • Build presentation tools and frameworks to facilitate leadership committee decision-making.

  • Assist in the analysis and planning of moves, adds, changes (MAC), and test fits for new spaces.

  • Provide detailed and data-driven insights to optimize workplace strategies and enhance space utilization tracking.

  • Collaborate with cross-functional teams to integrate data from HR, Finance, and other systems into real estate decision-making processes.

Here’s What You’ll Need (Minimum Qualifications)

  • Bachelor’s degree in Business, Facilities Management, Architecture, Engineering, Data Analytics, or a related field; or equivalent experience.

  • 3+ years of experience in space planning, data analysis, or a similar role within facilities management or corporate real estate.

  • Proficiency in data analysis software and space planning systems (e.g., CAFM, IWMS, Excel, Smartsheet, Tableau, or similar).

  • This role is expected to be in office 70% of the time with flexibility to work from home up to 30%.

  • Strong analytical skills with the ability to interpret data, identify trends, and provide actionable insights

  • Attention to detail and commitment to data accuracy and integrity

  • Experience in integrating data from HR, Finance, and other systems to inform real estate decisions

  • Excellent communication skills, with the ability to present data clearly to non-technical stakeholders

  • Ability to work collaboratively with cross-functional teams and manage multiple priorities in a fast-paced environment

  • Experience with CAD and drawing software (e.g., AutoCAD)

  • Familiarity with industry standards for space utilization and workplace strategy

  • Knowledge of workplace trends and best practices in space optimization
