Iron Mountain is seeking a motivated and detail-oriented People Operations Specialist Greece (Maternity Cover / Fixed-Term Contract) to join our People Operations team.
In this role, you will provide essential HR administrative and foundational HR advisory support to ensure smooth day-to-day HR operations for our Greek entity.
You will be responsible for managing core employee lifecycle administration, localized benefits tracking, internal system updates, and compliance tasks.
This position is ideal for an organized HR professional with a strong administrative foundation who excels at balancing local regulatory requirements (such as ERGANI) with dynamic vendor and stakeholder management.
What You'll Do (Responsibilities)
In this role, you will:
- Core HR Operations & Lifecycle Management: Monitor and handle all employee lifecycle stages, including onboarding agency hires (via SNOW and Ergani), processing regular terminations, and maintaining accurate digital and physical employee files.
- Local Compliance & ERGANI Reporting: Manage monthly teleworking declarations, prepare monthly annual leave reports for ERGANI compliance via our payroll partner, and act as a key contact for authority inspections, audits, and requests (e.g., Labor Inspection).
- First-Line Advisory Support: Provide policy guidance and foundational support to people leaders regarding routine matters such as absence management, exits, and conduct issues, while collaborating with external legal counsel on highly critical or sensitive cases.
- Local Benefits & Vendor Administration: Oversee local employee perks and benefits programs, including calculating quarterly Ticket Cards (Edenred), tracking monthly fuel card allocations (Spendeo/EKO), managing toll and telecommunication device requests, and coordinating Groupama health insurance enrollments.
- Payroll & System Data Migration: Prepare and submit payroll cut-off details (including annual leave reports) to the payroll team, manage local profiles within the M-Files system, and actively support upcoming payroll transition and data migration activities.
- Health, Safety & Procurement Support: Serve as the primary local contact for our Health & Safety partner (GEP), coordinate mandatory occupational doctor/technician visits, and review invoices or open Purchase Orders (POs) within Oracle.
What You'll Bring (Skills & Qualifications)
The ideal candidate will have:
- Experience: Foundational experience working in a localized HR operations, HR administration, or HR generalist capacity within multinational company based in Greece.
- Regulatory & Systems Knowledge: Prior experience navigating the ERGANI platform, local Greek labor law compliance, and managing data tracking workflows. Familiarity with systems like Oracle, M-Files, or ServiceNow (SNOW) is a major plus.
- HR Administration Precision: Proven ability to manage complex, multi-vendor files (such as fuel allocations, insurance data, and payroll cut-offs) with impeccable attention to detail and precision.
- Communication & Collaboration: Excellent responsiveness and interpersonal skills to seamlessly interface with internal employees, local people leaders, and third party outsourced vendors, and regional HR teams.
- Education/Certification: Professional HR certification (e.g., CIPD, SHRM, or a local Greek university equivalent) is preferred but not required.
