The Role

As a fast-growing Irish scale-up with a globally distributed workforce, accurate and compliant payroll is critical to our employee experience and financial integrity.

We are seeking an experienced Payroll & Expenses Specialist to take ownership of payroll operations across multiple countries, partnering closely with Finance, People & Culture, and external vendors to ensure our people are paid correctly, on time, and in line with local regulations.

This role goes beyond payroll processing. You will play a key role in scaling payroll and expense processes, improving ways of working, and being a trusted point of contact for employees across the business as we continue to grow internationally.

Key Responsibilities

Global Payroll Ownership

  • Own end-to-end payroll operations across multiple jurisdictions including Ireland, the UK, France, the Netherlands, Australia, and the USA, ensuring accuracy and compliance with local regulations.
  • Manage relationships with external payroll vendors (e.g., Vistra, Justworks, GT) to guarantee smooth and timely payroll processing.
  • Act as the internal expert on payroll cycles, deadlines, and dependencies across regions.
  • Administer bonuses and variable pay, ensuring accurate calculations, approvals, and reporting.
  • Maintain accurate payroll and employee data across HRIS and payroll systems.
  • Ensure ongoing compliance with statutory, tax, and reporting requirements in all countries of operation.

Benefits & Employee Support

  • Liaise with benefits providers across multiple regions, supporting enrolment, changes, and employee queries.
  • Partner closely with People & Culture to deliver a smooth, people-centric payroll and benefits experience.
  • Act as a trusted point of contact for payroll-related queries from employees and managers globally.

Expenses & GIE Payments

  • Assist with cash management and ensure timely processing of invoices for GIEs (external consultants).
  • Oversee payment of GIE invoices and maintain accurate records for audit and compliance purposes.
  • Collaborate with People & Culture to ensure proper coding and reconciliation payroll & expenses 

Reporting, Controls & Continuous Improvement

  • Support Finance and People & Culture with payroll-related reporting, reconciliations, and ad-hoc analysis.
  • Create and maintain payroll policies, procedures, and documentation.
  • Identify opportunities to streamline, automate, or improve payroll and expense processes as the business scales.
  • Support internal and external audits related to payroll and payments.

About you

  • Proven experience managing multi-country payroll in a growing or international organisation.
  • Strong understanding of payroll compliance, statutory requirements, and vendor-led payroll models.
  • Experience working with HRIS and payroll platforms (e.g. BambooHR, Justworks, Remote.com or similar).
  • IPASS qualification is beneficial but not essential.
  • Highly organised with exceptional attention to detail.
  • Confident communicator who can partner effectively with Finance, People & Culture, vendors, and employees.
  • Comfortable working independently in a scale-up environment with evolving processes.
  • People-centric mindset with a strong focus on accuracy, trust, and employee experience.
