The Role

The Office Manager/Receptionist will ensure the smooth operation of Teneo Ireland’s office environment, providing exceptional administrative support and ensuring an outstanding experience for clients, staff, and visitors. We are looking for a detail-oriented professional with a demonstrated history of managing a dynamic, high-paced office, organising client and internal events, and utilizing MS Office Suite at an advanced level.
The Office Manager will be part of a team that looks after the overall office management and day to day administrative support for the wider team. The candidate will be expected to work in close collaboration with the Teneo Ireland team, and will also be responsible for building working relationships with their peers across our client organisations as well as the wider Teneo network.

We’re looking for someone who values the energy and opportunities of an in-office role. This position is full-time, 5 days per week, in our Dublin office where you’ll have the opportunity to work closely with talented colleagues and contribute to a vibrant, engaging workplace culture.

Key Responsibilities

Office Management
  • Oversee the daily operations of the office to maintain an organised, efficient, and welcoming environment.
  • Manage office supplies, including stock control and budget adherence.
  • Ensure compliance with health and safety standards, acting as a point of contact for security and fire safety.
  • Liaise with external service providers and building management as needed.
  • Support IT equipment management and liaise with centralised IT teams for troubleshooting and onboarding requirements.
  • Support our People Operations team with our onboarding processes, ensuring new hires have access to necessary equipment and resources.
Reception Duties
  • Greet clients, staff, and visitors, ensuring a professional and welcoming experience.
  • Manage incoming and outgoing mail, phone calls, and general inquiries.
  • Schedule and maintain meeting room bookings, ensuring spaces are well-prepared and equipped.
  • Set-up of meeting rooms for external meetings.
Event Coordination
  • Organise and coordinate client and internal events, including venue booking, liaising with suppliers, and coordinating logistics.
  • Ensure events run seamlessly, meeting both client and company expectations.
Administrative Support
  • Prepare presentations, reports, and documents as required.
  • Manage and process office-related expenses in coordination with the Finance team.
  • Maintain contact databases and CRM tools for client and office records.
 

Skills and Experience

  • Has at least three years’ prior experience as an office manager.
  • Proven experience in a similar role within a fast-paced, multicultural environment.
  • Demonstrated history of managing a busy office and coordinating high-profile events.
  • Proficient in MS Office Suite (Word, Excel, PowerPoint) at an advanced level.
  • Exceptional attention to detail and organizational skills.
  • Ability to manage multiple projects simultaneously and meet deadlines.
  • Strong interpersonal and communication skills, with a professional demeanour.
  • Proactive, flexible, and solution-oriented mindset.
  • Self-starter with the ability to work autonomously and collaboratively within a team.
