As an Office Management Specialist, you will play a key role in ensuring the smooth operation of our Poland affiliate, enabling our teams to focus on delivering therapies to patients who need them most.
The Role:
- Ensure efficient day-to-day office operations, including facilities, supplies, and administrative services
- Coordinate travel, meetings, and office logistics
- Manage company fleet and fixed assets
- Oversee expense management, credit cards, and urgent payments
- Execute Source-to-Pay processes (Ariba, invoicing, payment tracking)
- Manage vendor relationships and ensure payment compliance
- Collaborate with external service providers and finance partners
- Support CRM (Veeva) as a local expert and trainer
- Maintain accurate master data (vendors/customers) in MDG
- Oversee contract management and documentation
- Drive process improvements and ensure strong stakeholder communication
Your Skills and Experience:
- Bachelor’s degree in a relevant field
- 5+ years in office or administrative management in an international environment
- Strong MS Office and SAP skills; Ariba, Concur, Veeva are a plus
- Fluent English and Polish
- Highly organized, proactive, and detail-oriented with strong communication skills
