About the Role

We’re looking for an Office Administrator who thrives on keeping things organized, efficient, and modern. This role isn’t about errands, it’s about making sure our tools, vendors, and workflows run smoothly so the rest of the team can focus on what they do best. If you enjoy managing details, streamlining processes, and leveraging software to make work easier, you’ll fit right in. We're looking for an entrepreneurial spirit; you don’t wait to be told what’s broken—you spot opportunities, take initiative, and make things better before anyone asks.


Key Responsibilities

1. Software & Tools Management

  • Manage company subscriptions (Slack, Zoom, Zendesk, Google Workspace, Monday.com, etc.).

  • Screen resumes and schedule interviews.
     
  • ​​​​​​​Track renewals, licenses, and usage to control costs.
  • Onboard/offboard staff into all systems.

  • Recommend modern tools or automations to improve efficiency.

2. Vendor & Supplier Management

  • Oversee relationships with IT providers, office supply vendors, cleaning, catering, internet, etc.

  • Negotiate contracts, track invoices, and monitor service performance.

  • Ensure timely renewals and vendor compliance.

3. Operational Support

  • Support invoice approvals, expenses, and light bookkeeping tasks.

  • Maintain office calendars, shared spaces, and booking systems.

  • Coordinate logistics for meetings, training, and company events.

4. Process & Compliance

  • Create and maintain SOPs for recurring tasks (e.g., travel booking, expense submissions).

  • Support IT and security basics (access cards, visitor logs, device tracking).

  • Keep internal records, documents, and policies organized and up to date.

5. Workplace Experience

  • Ensure supplies and resources are stocked and functional.

  • Be the go-to point of contact for office issues (repairs, equipment, deliveries).

  • Help make the workplace welcoming and efficient.

  • Confidence using modern SaaS platforms and finding smarter ways to work.

How This Role Differs from an Office Manager
  • Administrator: Hands-on, execution-driven, focused on keeping systems and processes running.

  • Manager: People leadership, budget oversight, policy setting, and strategic office planning.

Bonus Areas (Nice to Have)
  • Experience with the following softare; Google Workspace (Gmail, Calendar, Docs, Sheets, Drive, Meet), Slack, Zoom, Monday.com, Trello/Asana/Notion, QuickBooks Online, Zendesk, HubSpot/Salesforce.

  • Light HR/People Ops support (onboarding packs, welcome kits).

  • Data/reporting comfort: track subscription spend, vendor costs, or usage metrics.
