JOB DESCRIPTION
Reporting to the Global Onboarding Manager, the Global Onboarding Coordinator is responsible for ensuring a smooth pre-employment experience while maintaining compliance with internal and external requirements. This role involves managing core pre-employment data in HR information systems (e.g., Oracle Cloud), preparing documentation, maintaining employee records, and handling administrative tasks related to onboarding. The Global Onboarding Coordinator will collaborate closely with regional Global Onboarding Partners to uphold the best-in-class onboarding experience that UL Solutions is known for.
RESPONSIBILITIES
- Oversee the background screening process to ensure adherence to internal and external regulations, following up on any discrepancies or concerns. Serve as the primary point of contact with third-party vendors to ensure timely and accurate updates on candidate status.
- Collect and review information required to adjudicate background check cases for final grading.
- Complete work validation requirements, escalating any issues or non-compliance concerns as needed.
- Process and maintain accurate new hire records in our HCM system (Oracle Cloud), ensuring data integrity and completeness.
- Maintain applicant-to-employment records, conducting audits and making corrections to ensure compliance and data accuracy.
- Manage onboarding forms, ensuring all required documents are completed accurately and filed appropriately.
- Respond promptly to onboarding inquiries, directing escalations to appropriate resources and following up as necessary.
- Identify opportunities to enhance candidate experience and improve scheduling efficiency.
- Assist regional Global Onboarding Partners with additional tasks as needed to support the GO! team.
- Adhere to the Underwriters Laboratories Code of Conduct and all physical and digital security practices.
- Perform other duties as assigned.
QUALIFICATIONS
- University education (equivalent to a Bachelor's Degree) in Human Resources, Psychology, Business, Communications, or a related field preferred.
- 0-2 years of experience in a human resources role.
- Strong interpersonal and communication skills, with the ability to collaborate effectively with diverse stakeholders.
- Exceptional attention to detail and organizational skills.
- Ability to maintain the highest standards of confidentiality and discretion.
- Capability to work independently while contributing collaboratively within a team environment.
- Proven ability to meet established Service Level Agreements (SLAs).
- Proficiency in using multiple systems while engaging with customers/employees via phone, chat, email, and other channels.
