MongoDB is seeking an Executive Assistant to support our global Technical Services Team, including three VPs. The role will be based out of our Dublin office. Your day will consist of managing and prioritizing a steady stream of requests, meetings, and trips. You will work closely with the Technical Services Leadership team and their Executive Assistants to ensure your executives can align on schedules, follow-ups and other matters to ensure they are available to make business decisions in a timely and efficient manner. 

The right candidate will be able to balance the needs and requirements of their executive as well as other stakeholders and be ready to pitch-in wherever necessary. You should feel comfortable interacting with senior executives and their assistants to coordinate meetings and other business activities. You should be comfortable working in a fast-paced environment with quickly changing priorities while being calm, efficient, and highly organized.

Responsibilities

  • Proactively support the VP Operations, based in New York, EMEA AVP, based in Dublin, and the VP Escalation Management, based in Dublin
  • Manage the executives’ calendars meticulously and thoughtfully, coordinating all meetings and calls, including video conferencing and large team events
  • Manage multiple requests – exercising sound judgment, and seeing beyond the day-to-day to anticipate changing needs while staying calm under pressure
  • Collaboratively organize, schedule, plan, and execute global and regional events, including QBRs, offsites, cross-functional summits and team events
  • Build relationships with key stakeholders in your executives internal and external network
  • Manage all travel logistics and associated expenses, and be ready to handle last-minute changes
  • Collate and distribute correspondence, spreadsheets, slide decks, and meeting agendas
  • Track action items and key issues to closure with a high degree of integrity and accountability
  • Assist with special assignments/projects, as needed
  • Assist with department communications drafts
  • Collaborate on regular department All-Hands presentations
  • Occasional international travel is required

Requirements

  • 4+ years experience supporting senior executives, or other relevant experience working directly with executives
  • Role is based out of the Dublin office. Flexible working model with office attendance expected 1-2 times per week or based on business needs 
  • Bachelor's Degree or equivalent work experience is preferred
  • Extremely well organized and detail-oriented
  • Excellent verbal and written communication skills
  • Experience booking both domestic and international travel
  • Strong awareness and comfort operating across multiple time zones and cultures
  • Proficiency with Google Apps (Gmail, Google Docs, Google Calendar), Microsoft Office, and video conferencing tools
  • Creative, flexible, and innovative team player 
  • Able to handle highly sensitive and confidential material
  • Take feedback well, but also able to work autonomously with little direction and make decisions as needed
