What you will do

We are seeking a highly organized and driven Document Controller to join our team. The ideal candidate will be proficient in MS Applications and have used Procore/Aconex/Viewpoint. This role requires excellent multitasking abilities and a keen eye for detail to track the progress of documentation gathering and ensure timely submission to clients.

 

How you will do it

  • Document Management: Scan, rename, and save documents to the server. Upload documentation to the client platform. Reporting on the status of project documentation.
  • Internal Platform Maintenance: Maintain ACC, our internal platform, ensuring the site team has access to necessary information.
  • Stakeholder Liaison: Communicate with internal stakeholders and different departments to ensure client requirements are met on time.
  • Project Coordination: Manage multiple small projects simultaneously, ensuring smooth transitions between tasks.
  • Resource Planner Updates: Update the resource planner platform, ensuring accurate and current information.
  • Submittals Management: Collect submittals from the in-house team and upload them to the Main Contractor platform. Return comments and upload responses as needed. Supporting all PMs with adherence and completion to/of external workstreams/doc management applications such as Compass, Procore, Aconex, EIDA etc.
  • PMO Support: Assist with ad hoc administrative tasks for the Project Management Office (PMO).
  • Providing administration and coordination services for document management systems and support the site teams

 

What we look for

  • Ability to work in the office in Dublin 12 five days per week
  • Previous experience within construction, pharmaceuticals or manufacturing would be desirable.
  • Strong multitasking skills and the ability to track and manage documentation processes.
  • Excellent communication skills and the ability to liaise effectively with various stakeholders.
  • Ability to prioritize tasks and manage time efficiently.

 

Preferred Skills:

  • Proficiency in MS Outlook, Excel, Word, and online platforms.
  • Familiarity with construction platforms Viewpoint, Autodesk or Procore would be a distinct advantage.
  • Team player with a proactive and driven attitude.
