Job Description

Portico have an exciting opportunity working alongside one of our most prestigious clients, based in Dublin.

As a Corprate Receptionist, you will create an exceptional welcome for both members of staff and the visitors entering the building. They will also assist with meeting room management, including the booking of meeting rooms, and escorting guests and clients to the relevant rooms. You will be the go-to person in the office, covering a wide range of tasks for the client. To exceed expectations, the Receptionist will need to work closely with all other service providers, ensuring a seamless experience is provided to all staff using the space.
Some of the main responsibilities of the role include: 

  • Provide a warm, courteous and professional welcome to all visitors, clients and colleagues.
  • Deliver a consistently exceptional front of house experience that reflects the client's culture and values.
  • Manage all visitor arrivals, ensuring registration procedures are completed efficiently and in accordance with building security protocols.
  • Communicate visitor arrivals promptly to the relevant hosts and ensure visitors are escorted or directed appropriately.
  • Ensure guests are kept informed of any delays and remain comfortable throughout their visit.
  • Handle telephone calls, emails and enquiries promptly, professionally and in accordance with agreed standards.
  • Manage meeting room bookings, amendments and cancellations, ensuring rooms are prepared to the highest standard.
  • Coordinate hospitality requests, catering arrangements and support for meetings, events and client functions.
  • Monitor meeting rooms, reception spaces, client suites and communal areas to ensure they remain clean, organised and presentation ready at all times.
  • Build strong working relationships with client stakeholders, colleagues and service partners to ensure a seamless service experience.
  • Anticipate client needs and proactively identify opportunities to enhance the guest journey.
  • Take ownership of guest queries and requests, ensuring expectations are met and, where possible, exceeded.
  • Ensure all housekeeping, maintenance and facilities issues are reported promptly through the appropriate channels.
  • Support workplace administration, including locker allocation, access requests, visitor reporting and other administrative tasks as required.
  • Assist with gathering service usage data and operational statistics for reporting purposes.
  • Support events and hospitality activities, demonstrating flexibility to meet business requirements.
  • Complete effective handovers between shifts and maintain clear communication with colleagues.
  • Ensure compliance with all health and safety, security and company procedures.
  • Remain vigilant to security risks, including tailgating, and ensure all visitors comply with established protocols.

Salary: €34,729 per annum

Qualifications

The successful candidate must have excellent communication skills, as well as being comfortable with using different visitor management systems, and the ability to prioritise work due to constantly changing circumstances.
